Entry Fees

There are 3 different entry fees for each event depending upon when you enter:

  1. An early bird entry fee – ending date 9:00am Friday 5 April
  2. A base entry fee through to the Wednesday 12:00pm before each respective Race Day.
  3. A late fee from the 12:00pm Wednesday before each respective Race Day to the actual Race Day itself.

NOTE: ONLINE ENTRY DOES NOT EVER CLOSE. All entries will go through the online entry system here in 2024, right up until race morning as we are going paperless! However save yourself a $10 late fee by entering online before the Wednesday morning prior to race day.

Single Race Entry Benefits

Runners entering one race at a time or up to 3 separate races within the series will receive:

  • Entry to the race
  • Fully marked, marshalled course with professional medical support on course
  • Professional electronic timing and results
  • Support from the Medical Team and other event crew should you need it on the day
  • The opportunity to win random prizes at the presentations after the race
  • Plus other sponsor freebies and giveaways to be confirmed. 

Series entrants: ‘Gold Runners’

Gold Runners are entrants who enter all 3 events in the Series by Race 1 (2nd June 2024)

Gold Runners in 2024 will receive:

  • Trail Running Series Lightweight Running Cap to the first 350 Gold series entrants
  • 10% off their race entry (you must enter the races in one transaction to receive discount)
  • a special limited edition GOLD race plate
  • a finisher’s medal at the end of the 3rd race
  • all single race benefits as outlined ABOVE

Race Plate postage cut-off

Competitors who enter a race prior to the following cut-off dates will receive their plate in the mail. If you enter after these times you will need to collect your plate at race registration.

  • RACE 1: Smiths Gully: 8am Wednesday 15 May 2024
  • RACE 2: Anglesea: 8am Wednesday 19 June 2024
  • RACE 3: Silvan: 8am Wednesday 17 July 2024

Friendly 4km

A parent / guardian will be required to attend Registration to complete the entry form for those under 18

Running Groups 

Part of a running club, group or pack? Enter your group name in the online entry process to book a marquee in our Run Club Village. The Run Club Village marquee includes chairs, your very own marquee, and some freebies.

Field limits

Field limits are imposed to preserve the experience for all trail runners. We suggest you enter online early to avoid disappointment (on the day entries are NOT guaranteed due to field limits).

Field limits for 2024 permit up to 500 runners in each race distance at each event.

REFUND POLICY

Swapping race distance – single race entrants and series entrants (Gold runners)

Providing there are spaces available, a runner may transfer from a higher entry fee event (e.g. long course) to a lower entry fee event (e.g. short course) without paying an admin fee if they notify Rapid Ascent BEFORE 10:00AM ON THE FRIDAY 16 days prior to the race. If they notify Rapid Ascent less than 16 days before the event then a $10 admin fee will be charged. The difference between the two entry fees will NOT BE REFUNDED

Providing there are spaces available, a runner may transfer from a lower entry fee event (e.g. short course) to a higher entry fee event (e.g. long course) for the cost of the increase in entry fee if they notify Rapid Ascent BEFORE 10:00AM ON THE FRIDAY 16 days prior to the race. If they notify Rapid Ascent less than 16 days before the event then a $10 admin fee will be charged in addition to the increase in entry fee amount.

Series entrants – Gold Runners – 2024

(Entered into all 3 races and wearing a GOLD race plate.)

A series race entry or race plate cannot be transferred to another competitor.

Withdrawal

If a Series Entrant (Gold Runner) voluntarily withdraws from The Trail Running Series due to injury, illness, etc. and notifies Rapid Ascent prior to 8:00am AEST Wednesday 18 May 2023 a Credit or Refund will be issued.

  • Credit = Credit towards a subsequent Rapid Ascent event less an administration fee of 10% of the entry fee paid
  • Refund = Receiving a cash refund of your entry fee less an administration fee of 25% of the entry fee paid
  • Series Entrants who withdraw will not be eligible to collect the series bag if they withdraw from the event.
  • No credit or refund will be issued if we are notified after Friday 16 May 2024. (Please note after the dates listed above Rapid Ascent has incurred the costs of the event.)

Pregnancy Policy

If a female entrant is forced to withdraw due to pregnancy, they have the following entry options:

  • Credit: Receive a credit towards another Rapid Ascent event – less a 10% administration fee
  • Refund: Receive a cash refund of the entry fee paid, less 10% administration fee
  • Entry Deferral: A guaranteed entry into the same race at the same entry fee will be offered for the following year.

Transferring to another race within the series:

A series entrant may transfer their entry from one race in the series to another race in the series (without paying an administration fee) if they notify Rapid Ascent BEFORE 8:00AM ON THE FRIDAY 16 days prior to the race. If they notify Rapid Ascent less than 16 days before the event then a $10 admin fee will be charged.

Single Race Entrants – 2024

Withdrawing from The Trail Running Series (Individual race entrants)

If an individual race entrant voluntarily withdraws from The Trail Running Series (due to injury, illness, etc.) and notifies Rapid Ascent BEFORE 8:00AM ON THE FRIDAY 16 days prior to the race they have the choice of receiving either a credit or refund:

  • CREDIT = Credit towards a subsequent Rapid Ascent event less an administration fee of 10% of the entry fee paid
  • REFUND = Receiving a cash refund of your entry fee less an administration fee of 25% of the entry fee paid

If an individual race entrant notifies Rapid Ascent after the 16 day deadline then no refunds of credits will be issued (as all event expenses have been already incurred).

Transferring entry to another race within the series:

A single race entrant may transfer their entry from one race in the series to another race in the series (without paying an administration fee) if they notify Rapid Ascent BEFORE 8:00AM ON THE FRIDAY 16 days prior to the race. If they notify Rapid Ascent less than 16 days before the event then a $10 admin fee will be charged.

EVENT RESCHEDULING / CANCELLATIONS

If the event is deemed unsafe or unable to be held on the proposed date, the following steps shall be followed:

  • Rapid Ascent will endeavor to reschedule the event to another date with all entries transferring to the new date
  • If the new event date is more than 16 days after the original date and you are unable to attend a competitor may withdraw from the event according to the refund policy above.
  • If the new event date is within 16 days of the original date and you cannot attend you can receive a race credit to any Rapid Ascent event less a 25% admin fee

Note:

  • Rapid Ascent reserves the right to alter or amend the originally proposed course(s) from that which was published on the event website for any reason
  • Advice of any event postponement or change will be made on the front page of the event website as early as possible before the event, and will be posted to the official race notice board at the registration marquee.
